Zoom Integration Guide
Connect your Zoom account to CalimaticMail and create video meetings directly from your calendar events. This guide covers installation, usage, and removal.
Before you begin
- You need an active CalimaticMail account with calendar access.
- You need a Zoom account (Free, Pro, Business, or Enterprise).
- Make sure pop-ups are enabled in your browser for the Zoom authorization flow.
Adding the Zoom Integration
Sign in to CalimaticMail
Log in to your CalimaticMail webmail account at mail.calimatic.app using your email and password.
Open Calendar Settings
Navigate to Settings by clicking the gear icon in the sidebar, then select the Calendar tab. Scroll down to the Video Conferencing section.
Connect Zoom
Click the "Connect" button next to Zoom. You will be redirected to Zoom's authorization page. Sign in with your Zoom account and click "Allow" to grant CalimaticMail permission to create meetings on your behalf.
Confirm Connection
After authorizing, you will be redirected back to CalimaticMail. The Zoom section will show "Connected" along with the Zoom email address linked to your account.
Using Zoom with Calendar Events
Create or edit a calendar event
Open the Calendar from the sidebar and click on a date/time to create a new event, or click an existing event to edit it.
Add a Zoom meeting
In the event editor, click the "Add Zoom Meeting" button in the Video Conferencing section. CalimaticMail will create a scheduled Zoom meeting with the event's title, date, time, and attendees.
Share the meeting link
Once created, the Zoom meeting link is displayed in the event. Attendees included in the event will be able to see the join link. You can also copy the link to share it manually.
Join the meeting
When the meeting time arrives, click the Zoom meeting link in your calendar event to join directly. The host can also use the host URL to start the meeting with host privileges.
Tips
- •Meeting settings (join before host, waiting room) are configured automatically for convenience.
- •The meeting duration is calculated from the event start and end times.
- •You can remove the Zoom meeting from an event by clicking the remove button next to the meeting link, then saving the event.
Permissions and Data Access
CalimaticMail requests the minimum permissions necessary to provide the Zoom integration. Here is what the app can access:
| Permission | Purpose |
|---|---|
| Create meetings | Create scheduled Zoom meetings linked to your calendar events. |
| Read meetings | Retrieve meeting details such as the join URL and meeting status. |
| Delete meetings | Remove Zoom meetings when you delete the associated calendar event. |
| Read your profile | Access your Zoom email and name to display your connected account in settings. |
CalimaticMail does not access your Zoom recordings, chat messages, or any data beyond what is listed above. OAuth tokens are encrypted at rest and never exposed to the browser. See our Privacy Policy for full details.
Removing the Zoom Integration
Open Calendar Settings
Navigate to Settings, then select the Calendar tab. Scroll to the Video Conferencing section.
Disconnect from CalimaticMail
Click the "Disconnect" button next to your connected Zoom account. This removes the Zoom integration from CalimaticMail and revokes the OAuth tokens.
Remove from Zoom Marketplace (optional)
To fully remove the app, visit the Zoom App Marketplace at marketplace.zoom.us. Go to "Manage" then "Added Apps", find CalimaticMail, and click "Remove". This ensures no further access is possible.
What happens when you disconnect?
- All OAuth access and refresh tokens are immediately revoked and deleted.
- Your Zoom account information is removed from CalimaticMail.
- Existing Zoom meetings already created remain on your Zoom account.
- CalimaticMail can no longer access your Zoom account in any way.
Frequently Asked Questions
What Zoom account types are supported?
CalimaticMail works with all Zoom account types including Free, Pro, Business, and Enterprise plans.
Will removing a calendar event delete the Zoom meeting?
If you remove the Zoom meeting link from the event before saving, the Zoom meeting will be deleted. Deleting the calendar event itself does not automatically delete the Zoom meeting.
Can I use Zoom and Google Meet at the same time?
Yes. You can connect both Zoom and Google Meet. When creating an event, choose which provider to use for that specific meeting.
What happens to my data when I disconnect?
When you disconnect Zoom from CalimaticMail, all stored OAuth tokens are immediately revoked and deleted from our servers. Existing Zoom meetings that were already created will remain on your Zoom account but will no longer be linked in CalimaticMail.
I disconnected Zoom but want to reconnect. How?
Simply go back to Settings, select the Calendar tab, and click "Connect" next to Zoom again. You will be asked to re-authorize the app.
